How We Vet Bookkeeping Accountants Before Matching You
We are a matching service, not an accountancy firm. That means our reputation depends entirely on the quality of the professionals in our network. Here is exactly how we verify them.
Full Transparency About What We Are
Bookkeeping Accountants Harrow operates as a referral and matching service. We do not employ bookkeepers, we do not hold client money, and we do not prepare accounts ourselves. Our role is to connect Harrow businesses with independent bookkeeping professionals who meet our vetting criteria.
All bookkeeping work is carried out by the independent professional you choose. Your contractual relationship is with them, not with us. We earn a referral fee from the bookkeeper — you pay nothing for the matching service itself.
Because we have no control over the work once a match is made, we invest heavily in vetting before any bookkeeper enters our network. The process below is not aspirational — it is what happens for every single professional before they receive their first referral.
Our Six-Step Vetting Process
Every bookkeeper in our network passes all six steps. No exceptions, no shortcuts.
Every bookkeeper in our network must hold a minimum AAT Level 3 qualification or ICB Certified Bookkeeper status. We verify credentials directly with the Association of Accounting Technicians or the Institute of Certified Bookkeepers — not through self-declaration. Fellows and higher-grade members are prioritised for complex engagements.

How Matching Has Helped Harrow Businesses
Real outcomes from businesses matched through our service.
Family-run restaurant, Harrow on the Hill
A busy restaurant on Station Road was running three months behind on bank reconciliation and facing an HMRC VAT compliance check. Mixed eat-in and takeaway sales had been coded at a single VAT rate, creating a backdated liability.
The matched bookkeeper cleared the reconciliation backlog in under two weeks, corrected VAT rate assignments going back four quarters, and set up automated Xero rules to separate eat-in (20%) and takeaway (0%) sales going forward.
The restaurant avoided a potential £4,200 VAT penalty, reduced monthly bookkeeping time from 12 hours to 2, and now has real-time profit visibility through Xero dashboards.
“We had no idea we were coding VAT wrong on takeaway orders. The bookkeeper they matched us with found the problem immediately and fixed everything before HMRC got involved.”
Property investor, Stanmore
A landlord managing seven buy-to-let properties across Stanmore and Edgware was manually tracking rental income in spreadsheets. Section 24 mortgage interest restriction calculations were incorrect, resulting in overpaid tax on two previous self-assessment returns.
The matched specialist migrated all property data to Xero with automated bank feeds, set up per-property tracking with correct Section 24 calculations, and identified the overpayments.
The landlord recovered £3,800 in overpaid tax through amended returns and now has automated monthly profit reporting per property, with clear visibility of allowable expenses and mortgage interest relief.
“I was doing Section 24 calculations wrong for two years and had no idea I was overpaying. The bookkeeper caught it in the first review meeting.”
Solicitors' practice, Pinner
A two-partner solicitors' firm on Pinner High Street needed bookkeeping that understood SRA client account regulations. Their previous bookkeeper had been mixing office and client account transactions, putting the firm's practising certificate at risk.
The matched bookkeeper established properly segregated Xero tracking files for office and client accounts, set up reconciliation procedures meeting SRA requirements, and created monthly compliance reports for the partners.
The practice passed its next SRA accounts audit with zero findings. Monthly bookkeeping costs decreased by 15% due to more efficient digital processes, and the partners now receive weekly cash flow summaries.
“Our previous bookkeeper did not understand client account rules at all. The one we were matched with had worked with three other law firms and knew exactly what the SRA requires.”
Building contractor, Wealdstone
A building contractor operating across North London had received a £2,400 penalty for late CIS monthly returns and incorrect subcontractor verification. Manual record-keeping meant deduction calculations were frequently wrong.
The matched CIS specialist set up automated subcontractor verification, configured QuickBooks for job costing with CIS deduction tracking, and filed corrected returns for the penalty period.
CIS returns are now filed automatically by the 19th of each month. The contractor successfully appealed £1,600 of the penalty on reasonable excuse grounds, and job costing accuracy improved margin visibility by 22%.
“I was trying to do CIS myself and getting it wrong every month. Now it happens automatically and I can actually see which jobs are making money.”
Multi-site retail chain, Kenton
A jewellery retailer with shops on Kenton Road and in Wembley was struggling to reconcile sales across two locations, three card terminals, and cash. Monthly bank reconciliation was taking the owner 20+ hours and still producing discrepancies.
The matched bookkeeper implemented Xero with multi-location tracking, set up automated bank feed reconciliation for all accounts, and created VAT rules handling the reverse charge on gold transactions.
Monthly reconciliation now takes under 3 hours. The owner has per-location profit reports for the first time and identified that the Wembley branch was underperforming by 18%, leading to targeted operational changes.
“I was spending every Sunday doing the books and still getting it wrong. Now I get a report every month showing exactly how each shop is performing.”
